Since acquiring HubDoc, the OCR (optical character recognition) software in Xero has improved significantly, resulting in the automatic upload of purchase invoices becoming easier.
Each Xero account has its own, bespoke Xero email address for Bills (purchase invoices). Simply go to Bills and choose “Create bill from email”. This will bring up a box with an option to copy your unique email address to send your purchase invoices to.

If you email purchase invoices to this email address, they will then appear in draft in Xero with the invoice attached. Historically, all this would do is create a blank draft bill with the PDF/JPEG attached. However, the software has evolved and now some of the dates and figures are automatically populated for you. This option is also completely free!
Emailing purchases invoices direct to Xero is our preferred in-house option and we would highly recommend it for anyone completing their own bookkeeping. However, it may not be the right choice for all businesses and there are other software’s on the market such as AutoEntry, Receipt Bank and HubDoc which might be a better fit for you.
